redoing tree and shub lists

Four years ago I made lists of my trees and shrubs and where planted, etc. Now it is time to revise them and for the life of me I can't remember how I did them and can't find any notes. The lists are done alphabetically, and I need to insert more trees or whatever. I thought I could go to the list in my computer and add names and the computer would insert and make all in right order alphabetically. Maybe that's not possible. I know I made notes when I did the lists four years ago, but my little mind doesn't remember where I put my info. Does anyone have any ideas, all help appreciated.
